Position Overview
The Metamora Park District is seeking a qualified and motivated Executive Director to oversee daily operations, lead community programming, and manage administrative functions. This role combines leadership, organization, and community engagement to support high-quality parks and recreation services.
Key Responsibilities
Recreation Coordination (Seasonal)
- Develop and implement programming strategies
- Collaborate with local partners, including the library, to offer complementary programs
- Coordinate programs and instructors
- Create, publish, and market the program guide
Registrations & Customer Service (As Needed)
- Manage registrations for programs, park shelters, and pool services
- Process payments and refunds
Administrative & Director Duties
Daily
- Maintain office coverage during open hours
- Respond to phone calls, voicemail, and email
- Monitor and update social media accounts
- Handle incoming mail
Weekly
- Meet with employees (in person or virtually)
- Inspect parks and facilities
- Address concerns and complaints; escalate to the Board when needed
Monthly
- Prepare and present reports for Board meetings
- Attend all scheduled and special meetings
Seasonal
- Support staff and assist with operations
- Inspect facilities and equipment for maintenance needs
Annual
- Develop and manage the annual budget
Additional Responsibilities (As Needed)
- Plan and attend community events
- Manage projects (request bids, purchase equipment, oversee installations)
- Build and maintain relationships with community partners, including:
- Village departments (Public Works, Police)
- Local schools and organizations
- Regional and youth sports groups
- Order supplies for office, parks, and pool operations
- Oversee insurance and legal compliance, including audits and regulatory requirements
- Supervise and manage employees
- Coordinate with state agencies on park planning initiatives
- Maintain schedules and calendars
- Serve as FOIA officer and handle requests
- Update and manage the district website
- Perform general administrative tasks, filing, and office upkeep
- Travel locally as needed (e.g., courthouse visits)
- Perform other duties as assigned by the Board
Qualifications
- Strong organizational and leadership skills
- Excellent communication and community engagement abilities
- Proficiency in:
- Microsoft Office 365
- Google Docs/Sheets
- QuickBooks
- Ability to manage multiple projects and priorities independently.
